Board Secretary (Volunteer)

Reports To

President, Brisbane Netball Association (BNA)

Position Purpose

The Board Secretary plays a vital role in supporting the governance of Brisbane Netball Association by ensuring Board meetings are well organised, accurately documented, and compliant with the Association's Constitution and relevant legislation. The Secretary works closely with the President and Board Directors to ensure effective administration and communication.


Key Responsibilities


Governance & Administration

  • Coordinate Board meeting schedules in consultation with the President.
  • Prepare and distribute meeting agendas and supporting papers.
  • Record accurate minutes of Board meetings and Annual General Meetings.
  • Maintain Board records, policies and governance documents.
  • Ensure the Association complies with constitutional and statutory requirements.

Communication

  • Act as the primary point of contact for Board correspondence.
  • Distribute Board communications and meeting outcomes where appropriate.
  • Maintain confidentiality of all Board discussions and documentation.

Compliance

  • Maintain registers required under the Constitution.
  • Assist with preparation and lodgement of annual governance documentation.
  • Support the Board in meeting legal and governance obligations.

Board Support

  • Provide administrative support to the President and Board Directors.
  • Assist with planning the Annual General Meeting.
  • Support induction of new Board members.
  • Coordinate Board documentation and secure storage of records.

Skills & Experience

The ideal candidate will have:

  • Strong organisational and administrative skills.
  • Excellent written communication and minute-taking ability.
  • High attention to detail.
  • Ability to maintain confidentiality.
  • Good computer skills (Microsoft Office and cloud-based document storage).
  • Previous experience in administration, governance or committee work is desirable but not essential.

Time Commitment

  • Attend monthly Board meetings (approximately 2 hours).
  • Prepare agendas and minutes before and after meetings.
  • Approximately 4–8 hours per month, with additional time around the Annual General Meeting.
